One of the key tasks in building an effective corporate information system is automating corporate document flow as an integral part of a document management system (DMS).
As a company grows, very often its complex organizational structure and geographically distributed network of branches and divisions significantly complicate the DMS process. Given the large volume and complicated paths of documents, document flows relying on traditional facilities become tangled, increasing periods required to prepare, amend or otherwise deal with documents. DMS automation would be a logical step forward under these conditions.
IBS offers services and integrated solutions to build automated corporate document flow systems for various purposes and user categories including top managers, finance professionals, accountants, auditors, lawyers, sales staff and department managers, technical professionals, administrative and facilities management services and management.
The core objectives of implementing corporate document flow systems are:
-
decreasing time and money spent on generating and processing documents;
-
increasing operating efficiencies of the organization’s units and services by improving the quality of document management;
-
integrating data in various documents to enable fast and sound managerial decision-making;
-
creating conditions for the transition from routine hard-copy document flow to advanced paperless (digital) technologies.
IBS produced a methodology for building and implementing integrated solutions supporting real time data and document interchange between the customer’s systems.
In developing and implementing corporate document flow systems, IBS uses industrial document management platforms from EMC Documentum or Hummingbird and systems for bulk input, scanning and recognition of documents (Kofax Ascent Capture and Fine Reader).
The solution offered can integrate data within an ERP system, with information coming from standard ERP documents, business partner data warehouses and standard system directories.
Implementation of an integrated solution saves time spent by the customer’s employees searching for isolated fragments of information and documents in heterogeneous systems, allowing them to handle corporate information in a more productive and efficient manner.
